Enterprise architecture helps in the successful deployment of a company’s business strategy through analysis, design and planning. This is a revolutionary trend in the IT world today helping businesses achieve potential in a cost-effective manner. On the same note EA helps compose new business models that drive better revenue through innovation and successful execution. This enables businesses to get the best out of their digital business transformation efforts, bridge the gap between IT and business and most importantly increase revenue.

Building New Business Models

According to Gartner by 2023, 60% of organizations will depend on EA’s role to lead the business approach to digital innovation. Businesses today are already adopting EA to bring more intelligence into their plan, design and analytics. Enterprise architecture helps the merge between IT and the business world to expand a company’s business portfolio. Through its management of data EA enables businesses to predict future models that would bring return on its investment. Moreover, it helps business expansion in an agile, and cost-efficient manner.

Four Domains of Enterprise Architecture –

Business architecture: business architecture domain defines the company’s strategy, planning and tactic. EA helps manage business processes and operation and help plan a profitable model that provides a clear line of profit. Business architects today collaborate with IT to merge business plan with tech innovation.

Data architecture: helps manage company’s data and provide a solid architecture for analytical opportunities and decision making. This expands the company’s ability to have accurate data driven business plans.
Application architecture: this sub-domain is responsible for the architecture and plan of viable application solution that tackle a specific business problem. Moreover, it supports developers to design intelligent software while managing between business data and technology.
Tech architecture: technology architecture makes sure that the links between the four domains are interconnected and secure. It ensures that applications are successfully deployed and the connection between data and business decisions drives results.

Driving Digital Transformation through Enterprise Architecture –

Successful digital transformation is when the company has the ability to deploy complex applications to ease processes. Enterprise architecture facilitates digital transformation through managing the complexity of IT resources and making sure they are well used for the benefit of the business. It helps transform businesses through the effective use of IT potential to support business operations such as providing better insights with data and ensuring innovation. As the world withstands a critical health pandemic, almost every organization was forced to start operating remotely. EverteamGS-Intalio, was one of the first companies in the region to send their employees to work from home to stay in line with their responsibility towards the health and safety of their employees. This won’t only protect employees from risking their health, but it also lowers the probability of the virus spreading around the country and the world.

Additionally, EverteamGS-Intalio, has a large responsibility towards their customers to ensure operations continuity and ongoing technical and customer support – so stopping work was never an option.

It’s enough that being in quarantine can have a lot of negative effects on one’s mental health, so working from home during these difficult times can be challenging. Here we are almost a month into working from home, we gathered some fun tips from our employees summarizing their experience on how you can keep the same level of productivity that you had at the office – if not even better – while keeping the work fun and effective.

1)Get an early start:

Wake up early in the morning – like you normally would. It is very easy to stay in bed and procrastinate. Therefore, make sure you wake up early, fix yourself a healthy breakfast and start your tasks immediately as if your life depends on it!

2)You’re going to the office – but you’re not:

You have to pretend like you’re going to the office. So staying in your pajamas is a big NO. Instead, do all the things you would normally do before you head out to the office. Perhaps have a cup of coffee, read the news, meditate, or even workout. Keep those same habits, maybe even work on creating new healthy ones.

3)Fix Yourself a neat working place at home:

Just because you’re working from home, it doesn’t mean you can’t have a space dedicated for your work. Therefore, fix yourself a neat space at home, preferably not on the couch or in bed. Instead, dedicate a room for work and leave the rest of the house for leisure.

4)Keep the teamwork alive:

One of the main challenges is to keep the teamwork alive. Working as a team requires serious communication in addition to some fun here and there. Therefore, in addition to having a “serious” group over a group-chat, create another group-chat for more “casual chats” – things that you would usually discuss while making your cup of coffee at the office in the morning.

5)Plan your day:

Just as you would at the office. Set your agenda and commit to it. Nothing is more satisfying than crossing-off completed tasks. Sticking to a clear agenda helps you structure your day nicely, giving you a better estimate of how much time you need for work and how much time you need for breaks. This leads us to the 6th point!

6)Don’t forget to take a break:

It can be easy to sink into your work as you do it from the comfort of your own home.

Therefore, make sure you take clear breaks. By that, we mean to step away from your working area and perhaps have a chat with someone at home. Cook lunch, or even get a nice stretch. Trust us, it improves your productivity and gives you some time to clear your mind of your workload.

Unfortunately, we do not have a clear outlook on when the corona epidemic will end. Therefore, we do hope that you take those tips seriously to help you get through the difficult times we are in. EverteamGS-Intalio employees are completing their tasks as usual and no project deadline has been interrupted. We sincerely hope for better days. Meanwhile, stay safe and enjoy working from home!

Digital tools, technologies and platforms throughout the years have seen a significant rate of adoption as they continue to change the way we live, work and interact with each other. The interaction on a B2C and on a B2B scale has been reshaped through the wonders of digital transformation and this is only the beginning.

If your organization has not started taking the “Digital Era” seriously, it’s about time it does, and or stay behind and watch competitors flourish while they generate high profits from sales from a simple investment your organization is yet to make. Digital transformation is on the rise and it’s only onwards and upwards from hereon.

Customers & Businesses Today…

Prior to today, customers were “loyal” to brands. With the shift to digital delivery and experiences, customers expect from businesses a personalized interaction and an enhanced customer experience. Businesses need to know that the customers today have become wiser, more critical and cynical. While brand loyalty has become almost nonexistent, customer experience is the new battleground for businesses.

How Your Business Can Compete…

Customers interact with your businesses on many levels that include – visiting the actual store, browsing the website, speaking to a live agent and so on. These encounters are considered as “touch points” that ultimately make or break the customer experience.

The concept of customer experience is not new, however the rise of new technology has redefined customer experience. For businesses to survive in the digital world, they need to be online, however, online presence is not enough anymore. Therefore, you must be wondering by now, what more can businesses do? How do they ensure the experiences customers go through across all channels are consistent?

Digital Transformation…

Digital transformation does not only benefit the business, but it reaches out to the consumer. After understanding what the customer wants and how they want to interact with your business, it’s up to the business to show the customer how much they “care” for them.

Companies need to start by incorporating more digital elements into their strategy. Using digital transformation wisely, businesses will be able to create better experiences for customers by accommodating online resources, automating specific tasks and collecting data that will eventually help you effectively serve customers.

We Can Help You!

Intalio, being an expert, for more than 25 years in digital transformation and information governance, is able to give you the digital advancement strategy and solutions to improve the customer experience you provide by embedding the latest technology. For now, we can share some small tips like; firstly, embrace automation and acknowledge that it should be part of your customer service strategy. Secondly, make sure ALL your information is online to make it convenient for customers to find the information they need. Thirdly, make sure your offers are relevant to your customers by personalizing the needed content. Finally, get to know your customer well to provide them with value.

Understanding Digital Asset Management

Digital Asset Management (DAM) is a centralized source for digital media content through which organizations use to store, organize, find, manage distribute and analyze.Digital assets are critical for an organization if they which to have effective marketing, branding and advertising. However, as everything continues to evolve, including digital media, businesses face a challenge in the continuous growing number of digital assets stored in their multiple formats, from multiple channels, media files, product lines and so on. Applying useful metadata to images becomes a daunting task as it’s done manually costing the organization a lot of time and money. This can easily overwhelm any organization and possibly cause it to fall back.

Consequently, DAM solutions need to be updated to meet consumer needs by embedding new technology that facilitates the overall process of digital assets management.

Changes in Digital Asset Management

As software vendors compete in creating the best DAM system, they will need to respond to consumer needs. It is no longer only enough to store, organize and manage digital assets. For a DAM system to stand out, it should be able to transform the experience into a more customized, personal experience able to seamlessly utilize and distribute the available assets.
Due to ever-changing consumer needs, DAM is not dead, but instead it has adapted to those needs by embedding AI technologies to better process the media files an organization has. Two main technologies added help companies remain compliant, ease the concerns of legal teams, empower HR departments, and ensure overall brand consistency.
Legacy Dam tools in the past operated on basic metadata including file name and type. However now with AI embedded technology, greater levels of efficiency have been reached with ease of use and greater search ability tools allowing for advanced functionalities within the platform.

AI simplifies metadata search making it easier to retrieve a wide array of content types including PDF’s, GIF’s, PSD files and others. One of the key AI embedded technologies that has been involved recently is Computer Vision. Many organizations fall behind when it comes to the resources needs to apply, associate and embed metadata into digital assets consistently.
Due to AI capabilities, the smart DAM system is able to scan in an image or video, using recognition capabilities, by analyzing references that help it identify faces and objects. Therefore, companies are able to group and identify images based on visible logos, faces, objects, colors, and so on because of computer vision.

Computer Vision APIs allows users to analyze images to provide insights about their features and characteristics or even analyze if they meet specific formats and characteristics. Additionally, something that would save organizations a lot of time, text from images or even handwritten text extracted into a character stream readable by a machine that can often be translated into different languages.

What’s New in Intalio Correspondence Tracking 2020 Edition? https://www.intalio.com/cts-2020/ Thu, 16 Apr 2020 05:41:22 +0000 https://www.intalio.com/?p=51710 The post What’s New in Intalio Correspondence Tracking 2020 Edition? appeared first on intalio.

Issues and Challenges Modern Businesses Face Today

In the rapidly changing times we live in today, organizations in the public and private sector are dealing with an immense amount of correspondence in different forms. Imagine the frustration that comes from the need to manage the complete correspondence from origination to distribution. In fact, the following is a list of challenges modern businesses are facing today with correspondence:

• Managing and keeping track of big amounts of paper documents
• Manually reviewing, commenting, approving and dispatching correspondences
• Optimizing and monitoring employee performance
• Making better decisions due to poor reporting
• Securing information accessibility, storage and delivery
• Ensuring Corporate and Information Governance
• Losing documents and difficulty in tracking document circulations or statuses
• Higher costs associated with multiple document reproduction and printing
• Bottlenecks associated with large piles of documents waiting to be processed

Consequently, every organization must have a system that streamlines the complete lifecycle of correspondence by automating the capture, routing, classification, archiving and reporting guaranteeing total accountability.

Correspondence Tracking

1. Why it’s needed

Organizations today have three main fundamentals to achieve for success and business continuity which are: productivity, flexibility and adaptability. With big data on the continuous rise and correspondence evolving in its various sources (scanned documents, emails, electronic documents, and so on…) the only way to attain the main fundamentals is through an electronic correspondence tracking system as paper-based communication methods are turning obsolete.

Moreover, organizations are expected to respond to different types of correspondences in a timely manner and with high accuracy. Therefore, manually dealing with the massive amount of incoming and outgoing correspondences has resulted in higher processing time, inefficient or unavailable information and increased operational costs.

2. Intalio Correspondence – General overview

We offer a completely integrated fully web-based correspondence automation and tracking system from Intalio, an end-to-end solution enabling organizations to capture, track, , dispatch, manage and archive internal and external correspondence seamlessly.

Our modern correspondence system enables users to write and send correspondence in a manageable and organized way, supporting “go-green” initiatives with the ability to switch to a paperless environment by capturing and storing all paper or electronic documents while handling correspondence circulation in a seamless application.

Intalio Correspondence also ensures a comprehensive and secure workplace by:

1. Improving the organization and filing process of important and confidential documents.
2. Enforcing restrictions and allowing access only to authorized users.
3. Enabling users to find, review, comment, and dispatch correspondences seamlessly.
4. Providing advanced and personalized dashboards and performance monitoring tools for improved efficiency.
5. Allowing seamless access to information anytime anywhere.

The Impact of COVID-19 on Content Services

Ever since the global pandemic hit the world it has changed our reality and many things around it. In addition to the fact that we are all asked to stay in the safety of our own homes – for who knows how long – COVID-19 has changed our relationship with each other and the outside world.

We are witnessing an uprising in the way people and businesses are using technology. Though we do not know what to expect in the coming weeks, we have already started to see changes in the way businesses are operating internally and externally. It’s safe to say that these changes are only the beginning of the digital transformation revolution.

In the new reality of Coronavirus – everyone has been turning to the safety of the online world to get things done, whether it’s for education, news, entertainment, communication and even the most apparent, remote working. We all know that in order for businesses to survive in the modern business world, they will need to digitally transform their business workflows. However, now with the arrival of this pandemic, digital transformation has shifted from something essential to something beyond critical.

COVID-19 and its Impact on Businesses –

In addition to the human impact, there has been a significant impact on businesses globally during this pandemic. Businesses are facing many challenges trying to survive; they are left with two options. Either they shut down, or rapidly change the way they do business through digital transformation. Organizations which were partially digitized are beginning to shift to fully digital. Organizations that have not even thought of transforming digitally are forced to do so for survival.

Due to the current situation, organizations that offer services to end users that were accessible manually or were partially automated have now shifted to offering those services fully digitally. Applicants now submit their requests online, where some limitations previously requested their “physical attendance”. COVID-19 completely shifted services to become all–inclusive. All kind of requests are now accepted with electronic documents instead of the original documents.

As we all know, the COVID-19 virus can be easily transmitted through paper. This automatically disregarded all physical paper-work procedures. Even organizations in the public sector showed flexibility by cancelling all paperwork and making data accessible from anywhere without the need to access the physical copies from offices. Therefore, all legal constraints are showing more flexibility on the use of electronic documents.

We are also recognizing flexibility with decision-makers. Before COVID-19, decision-makers had very limited choices to where they could take their decisions from. Today, they are left with no other choice but to take those decisions remotely. Consequently, we see a need to adapt necessary systems to mobile, tablets and other devices to ease their decision-making process.

Additionally, meetings shifted to become virtual meetings. However, not any virtual meeting platform is sufficient for organizations. Today, there is a need for a full-fledged virtual meeting management solution for businesses offering services other than video/audio call.

The key component of digital transformation is an efficient Content Services Platform as it plays a vital role in enabling this transformation since all customer interactions begin and end with content. Businesses that have effectively set a digitized content management strategy are able to function under any given circumstance. Therefore, if your organization has not digitized yet, now would be a good time to start or you will fall back.

The Importance of Content Services during COVID-19

Under the given circumstances, content services are essential as through it all the content-driven interactions can be streamlined and automated. Businesses can also benefit from an omnipresent, multi-channel access to critical documents, communications, and other customer content.

Now more than ever, organizations need it to enable businesses to stay connected across teams and systems to maintain customer support and offer stability. If we take a typical scenario today of workers trying to complete a task remotely from home, an effective content services platform will allow them easily access the right information from any device, review and send required documents, approve and sign them through the digital meansThis will not only improve work productivity and efficiency, but also allow organizations to expose their services to new channels and consumers, ensuring sustainability and continuity

The Future of Content Services

With COVID-19 affecting the way organizations do business, the implementation of content services has been accelerated and modified with a focus on the internal structure of an organization and the need to implement a vertical process management automation that fit its strategy, objective and goals.

Aspects of content services solutions that were previously considered a luxury, or nice to have features are now critical and mandatory for organizations’ survival. Though legal constraints will no longer hold any business procedure back, organizations will no longer be able to go on with the basic content management services. Instead they will focus on business specific content-centric solutions such as:

End to end Meeting Management Solution:

Video conferencing solution will have to provide additional features than video and audio. Organizations will see the need to implement a proper virtual meeting management system that provides the option to create an agenda, schedule for the meeting, monitor attendance, create minutes of meeting, record and extract some parts of the meeting and so on.

Crisis Management Tools:

Organizations have to be prepared by implementing an integrated crisis management solution to fill any potential gap a business is likely to face.  Intalio offers a solution designed to protect any businesses during a crisis triggered by internal or external factors to ensure that management and teams can continue to operate for business continuity. Information can be shared between teams and decision makers- in real time- as they are provided with the necessary set of tools needed to collaborate quickly, make better decisions, plan, take action and track their response.

You can interact with the system through a user-friendly interface adapted to all sort of smart electronic devices. This wil allow to to find, track, review, amend and even sign documents and correspondences at any time, from any place using your preferred device.

Digital Signature Software:

With the global migration from paper-based documents to electronic assets such as messages and correspondences,  the adoption of digital signatures software has emerged across all industries. Intalio© Sign can be added to any core solution to provide digital signature capabilities by using a set of Library Solutions containing all core functionalities such as signatures, certificates, database connections, and much more.

Advanced security measures have been implemented to create an unforgeable digital signature: powerful encryption techniques coupled with authority certificates, dedicated pins, and Intalio© validation procedures. All of this results in a highly effective and particularly reliable signature suitable for legally binding documents.

Additionally, organizations will need to implement a comprehensive platform which will allow them to continue their procedures through an online portal. This comprehensive integrated platform should allow them to simultaneously send, review and approve documents by routing them to multiple users internally and externally, visually tracking every step of the document lifecycle.

Content services platforms are an essential part for any organizations contents strategy. Content services platforms cover the more formal aspects of how content is used in an organization; this includes capabilities like document management, records management, workflow and content capture. As opposed to content collaboration capabilities which are used in informal ad hoc collaborations.

Critical Path for a Successful Governance Strategy

Information is undoubtedly the most valuable asset for any organization today. Employees deal with different types and genres of information in their daily work.
Almost every organization has information overload as the data continues to increase. To stay on top, and to correctly use this information, organizations need to set up a proper content and information governance strategy.

An information governance strategy evaluates the entire ecosystem of an organization to determine the right tools, processes and knowledge required. In most cases, business activities and processes are driven by data. Organizations need to think about how they want to position their data and what kind of insights they want to derive from it. This is done by simply evaluating the information lifecyle. Answering questions such as how much data is produced, where is this data coming from and what is needed from this data and when is the key.
The information lifecycle initiates from the creation and ends with the retention or disposition. However, governing and extracting value from information has become a challenge as many organizations are left with a sprawl of unconnected platforms.

The Need for a Functional Information Governance Strategy

Considering the importance of having a well-designed information governance strategy, our information management consultants at Intalio establish a deeper level of expertise for our clients by sharing our valuable knowledge and best practices in the related subject.

Our consultancy services help organizations build a durable strategy that guides a company to keep its information management practices in sync, improve its processes, and prepare for the future.
The right information at the right time is the key to innovation, process efficiency and service excellence. Without a thorough information governance strategy, you will not be able to support the work of your organization.

Read on as we lead you to the path on setting the right strategy to support the work of your organization. In addition to the various areas your organization must assess before deciding to implement a content services solution and the approach it should follow when doing this exercise.

In order to execute the right information governance strategy, the following key areas need to be assessed, analyzed and documented:

1) Organization Environment –

Assessing the current state of the organization by getting a solid understanding of the organizations size, structure, projects, communication protocols, procedures and so on is the first milestone…
Our experts at EverteamGS-Intalio, address the challenges across the organization, while assessing your needs, and analyzing the underlying processes and behaviors. We answer questions like how does your organization function exactly? How does the work actually get done? Who reports to whom? How does the information flow within the organization? How are the decisions made?

2) Deep Dive Into the Organization’s Current State –
Here, we go deeper in the information produced, used and nurtured all along the organization’s work cycle. This information is incredibly valuable as it will help to form the business vision, which will begin to shape what the future state will look like once the program is implemented. Two different aspects are talked at this stage:

Information governance is an organization’s technologies, policies, processes, and strategies employed to optimize information in order to meet its business needs, as well as legal and industry regulations, while minimizing risks. It consists of determining and defining the below key components:

1) Records Management:

  • The identification, classification, retention, use and eventual disposition of records and information.

2) Content Management:

  • The storage and access of electronic records and information.
    • Security, access controls, retention and disposition, and legal holds for electronic information.

3) Data Governance:

  • The level of Data integrity: processes and controls are in place to ensure data is true, accurate and unique.
    • Data cleansing to remove corrupted, inaccurate or extraneous data and deduplication to eliminate redundant data.
    • Master Data Management (MDM) to ensure reports, analyses and conclusions are based on clean, reliable, trusted data.

4) Information Security:

  • Controlling access to information and maintaining the security of confidential information and communications.
    • Digital Signatures, Document Encryption, Data Loss Prevention (DLP) and Information Rights Management (IRM).

5) Data Privacy:

  • The identification and protection of any information that can identify an individual, such as name, medical record number, credit card number, etc…

6) Risk Management:

  • The identification, assessment and prioritization of organizational risks.

7) Knowledge Management:

  • Create, share, use and manage the knowledge and information held by an enterprise in order to make the optimum use of that knowledge.

8) Litigation Readiness:

  • Key legal processes include electronic discovery (e-discovery) readiness, records and information retention policies, legal hold notification, and legally defensible disposition practices.

9) Regulatory Compliance:

  • Ensure the organization is conforming to relevant laws, regulations and internal policies.

Information lifecycle management consists on the acquisition of information from various sources, its custodianship, distribution and disposition through deletion or archiving as dictated by the organization’s information governance policies.

Information lifecycle management includes the following guidelines:

3) Challenges and Struggles

As we do believe that challenges faced in a workplace can be best described by the digital workers dealing with the information on daily basis, this phase is dedicated to hear their feedback, by arranging several workshops with all departments to understand the real struggles faced in their business as usual work. The main objective of this exercise would be to get a testimony from the employees deeply involved in the creation, management and usage of the information in the organization, to understand the challenges and difficulties they face throughout their day to day tasks.

4) Gap Analysis and Measure Success

Gap refers to the space between ‘where your organization stands’ (the present state) and ‘where you would like your organization to be’ (the target state). A gap analysis is a method of assessing the differences in performance to determine whether business requirements are being met and, if not, what steps should be taken to ensure they are met successfully. The objective is to remove the gap between the current performance and the available potential in order to reach the ideal situation.

Develop a Roadmap for your Governance Strategy –

Once done with the critical success factors by looking into each of the key components, we need to make them specific to the objectives we are trying to achieve by implementing a data governance program specific to your organizations needs and goals.

We will then be able to take a decision in creating the correct information management and governance strategy. By building this program roadmap, we will be setting the goals and significant milestones for the enhancement and improvement of the information governance within the organization. We can finally optimize the tools and embed the digital characteristics in the organization’s work to help facilitate your information governance and support your organization.
